As systems administrators, we do everything in our power to ensure that our users’ archived Outlook data is safe and secure. Even after migrating to Exchange Server, we knew that we probably had hundreds of legacy Outlook archive PST files scattered throughout the network, on both workstations and servers. As part of a larger project to upload all critical legacy data to archive servers for centralized storage and management, we used PST Finder to search the corporate domain for this data, rather than wasting hours searching individual servers and workstations. We were delighted with the results; it’s a simple, intuitive product that generated detailed reports, and offers additional options for centrally acting on the files it found. Many generations of end users have accumulated archive.pst files on multiple computers in our organization, and many generations of IT support staff have created PST files as permanent backups for departed employee data. We now have Exchange 2010 server and want to consolidate the “live” data in users’ mailboxes, but the task of locating and importing all these files proved daunting, until we began using PST Finder. We are in the process of archiving all of our Exchange mail to an external device. The problem we faced is that there has never been a policy to stop users from creating .pst files. From some simple manual searching, I found hundreds of pst’s and many gigabytes of email that are in many different locations, users pc’s, network share drives, etc. Without some sort of tool to seek out, move, and archive this data, there would be no way to get a handle on this project.
